Setup and Maintenance Menu

Welcome to the Setup/Maintenance menu for magic5.

When you first use magic5 you will spend a lot of your time in this menu, but once you have got going you will only visit occasionally to set up a new user or customer, modify an email address or update some of your form templates.

The menu contains the following options.

Maintain templates

A template is a collection of related forms or documents that will be completed by the user. Usually there is just one form in a template (maybe a simple signature capture form where the customer’s signature is entered along with a few other pieces of information).

In some cases there may be a number of document in the template, some may be optional and others mandatory. An example of this could be a hotel inspection template – in that case there may be common documents that are always completed (kitchens, general cleanliness) and optional documents that might not always apply (swimming pools, gym).

A template is presented on the magic5 reporting web site as a single report for editing or viewing.

It is possible to control when data can be saved, edited and uploaded from the device, and whether data can be edited on the web site.  This is done in the template definition.

Customers

This is where you can set up your customer, either individually or by importing them from a spreadsheet.  This spreadsheet must be based on a magic5 template which can be populated by hand or cut-and-paste'd from an existing list.

Each Customer has an associated Location, each of which can hold different contact details.  These can be included on the spreadsheet to further save time with data entry.

Lists

Lists are the cogs that make magic5 run smoothly and efficiently. A list can be absolutely anything you like - a set of examples would only suggest limitations and there are none. The smallest list to-date is "yes/no", closely followed by "yes/no/maybe" and the largest list is beyond counting and probably contains all the parts that might be required for repairing any make of car that a mechanic might come across.

Lists can be imported from a spreadsheet using a magic5 template populated by hand or cut-and-paste'd from an existing list.

Images can be attached to lists, so that a "yes/no" can display as smile/frown or tick/cross and lists can be nested so that one drop-down list on the device is populated with reference to the selection in a previous one.

Groups

Groups allow large numbers of customers to be treated en masse rather than individually. This is very helpful for large customer lists, but is not essential to the operation of magic5 so can be ignored for relatively small customer lists.

Users

Everyone is a user with a particular role - the office user as an administration user, your engineer as a device user and your customer as a customer user. Until they have been set up with a username and password, none of these people can interact with magic5. In addition they will be given a role which restricts access to certain areas.

Job definitions

Job definitions can be powerful partners to templates as skeleton procedure that allocates forms to device users as indicators of work to be carried out. This means that an office user can manage the workload and send the required information (such as location) to the device user.

However, if your device users create their own workloads you may find that you do not need Job definitions.
